Camp iRock is operated by iRock School of Music (“we”, “us” and “our”). We are registered in England and Wales under company number 10223683 and have our registered office at: Wellesley House, 10 Eelmoor Road, Farnborough, GU14 7QN.

Policies and Procedures

Safeguarding Statement:

iRock School of Music is committed to providing a safe, secure, and supportive environment for all children attending Camp iRock. The safety and wellbeing of the children in our care are our top priorities, and we take all necessary measures to safeguard them from harm.

Our staff are trained in child protection and safeguarding procedures, and we follow best practices to ensure that all children are safe and nurtured in our care. We have clear policies in place for handling concerns regarding child welfare, and our staff are fully vetted through the Disclosure and Barring Service (DBS).

If you have any concerns or questions regarding safeguarding, please feel free to contact us our DSL’s – Jamie Gillman or Beverley Huish on 0330 174 2655. We are committed to working in partnership with parents, guardians, and carers to ensure the safety and welfare of every child at Camp iRock.

Camp Staff are:

-      Full-time teaching staff with iRock School of Music;

-      Regularly checked at enhanced level through the Disclosure and Barring Service (DBS);

-      Trained in Keeping Children Safe in Education, Prevent and Safeguarding;

-      Trained in behaviour management;

-      First aid trained – first aid will be administered to children in the event of an accident while under our care. In cases of serious accidents, we may need to call emergency services. You will be contacted immediately in the case of an emergency.

 

Quality Assurance:

At Camp iRock, we are committed to providing a high-quality experience for every child. To ensure we meet the highest standards, we regularly review and assess our Summer Camp activities, staff performance, and overall experience. We gather feedback from parents, guardians and children to help us improve and maintain the quality of our services. Our staff members are trained to the highest standards, and we work to ensure that all activities are safe, engaging, and educational. We are dedicated to continuously enhancing the camp experience and ensuring every child leaves with a positive, memorable experience.

 

CAMP iROCK TERMS & CONDITIONS

These Terms & Conditions (“Terms”) set out all the terms and conditions upon which we provide your children with access to a summer camp organised by Camp iRock (“Summer Camp”).

Please read these Terms carefully before booking a place at our Summer Camp. By booking a Summer Camp place for your child you agree to be bound by these Terms.

 

Booking a place:

The price for a booking includes admission to all activities, specifically organised for the Summer Camp for the weeks selected at the time of booking.

Upon booking, parents/guardians agree that their child will*:

·      Respect the property of others

·      Treat people with respect and not use abusive or obscene language

·      Not be aggressive or violent

·      Follow the instructions of Camp staff 

*The wellbeing and safety of children in our care is our main concern. In order to ensure safety, security and order, Camp iRock reserves the right to deny admission, or to require you to remove a child from the Summer Camp, without refund or compensation, for failure to comply with any of the Camp iRock rules, for unsafe, illegal or offensive behaviour.


You accept these Terms on behalf of every child for whom you have booked a place and shall ensure that these Terms are notified to and followed by each child.


Hours of Summer Camp:

Our standard hours for Camp iRock are 08:30am to 16:30pm.

Each day, between 16:15pm and 16:30pm there will be a short awards ceremony, which parents /guardians will be invited to attend. Also, on the last day of the Summer Camp (Friday) you are invited to the “End of Week Concert” which will take place at 14:30pm. All children must be collected by 15:30pm on the final day.

 

Pick-up:

Children may only be collected from Camp iRock by either: the adult who has accompanied the children at check-in; or a nominated adult who has been named at check-in with an agreed password.

All children must be picked up within 10 minutes of their pickup time. If, for any reason, you are unable to collect your child by 16:30pm, please call 0330 174 2655 as soon as possible.

You will be charged a late pick-up fee of £20 for every 15 minutes after your pick-up time to cover additional staffing costs.

If we have had no contact from a parent/guardian by 17:30pm we will contact social services to advise them that we have an uncollected child.

Awards and performance:

·      Each day: we will be awarding three campers in a brief ceremony, which will begin at 4:15pm – parents / guardians are welcome to come participate in this, if available. 

·      Friday: to finish Camp iRock on a high the children will be performing in their very own rock concert! The concert will start at 14:30pm so please try to arrive 10 minutes before the concert is due to begin. All children will need to be collected by 15:30pm on the final day of the summer camp.

 

Camp iRock Entry Rules:

Entry to Summer Camp is subject to your child:

·      Being between 5 and 12 years old on the day the Summer Camp starts. For the avoidance of doubt, age means a person’s legal age according to actual date of birth

·      Being toilet trained

·      Not being infectious

·      You understand that your child might carry out an activity that you would not have chosen for them. Leaving your child at Camp iRock is deemed to be consent to that child undertaking all of the activities available at Camp iRock

 

Additional support:

·      If your child has any medical condition, disability or other educational needs that may impact upon your child’s participation to the Summer Camp you must notify us by letting us know by emailing info@irockschool.com so we can cater for your child’s needs and put in place any appropriate arrangements to ensure your child has the best experience within Camp iRock

·      Where a child requires one-to-one support, we will permit a parent, guardian or carer to attend the Camp to support the child

 

Bookings:

Pricing is in UK sterling and inclusive of VAT. All booking are final and subject to the cancellation policy below.


Cancellation policy:

You may cancel your place up to two weeks before the chosen Summer Camp. You will be issued a partial refund as below:

-      Any cancellation made at least six weeks prior to the start of your first day booked with Camp iRock will entitle you to a full refund

-      Any cancellations made between four and six weeks prior to the start of your first day booked with Camp iRock will entitle you to a 70% refund

-      Any cancellations made between two and four weeks prior to the start of your first day booked with Camp iRock will entitle you to a 50% refund

-      Any cancellation less than two weeks prior to your first day booked will not be eligible for the refund and will be charged the full price.

Please note: You may be eligible for a refund if your child is unable to attend the Summer Camp due to medical reasons. A doctor’s note will be required to receive a refund.

 

What to pack for Summer Camp:

·      Packed lunch everyday – please ensure your child does not bring anything which contains nut products

·      Plenty of drink in a reusable bottle or flask (no fizzy drinks, please)

·      Sun cream

·      Prescribed medication (You will need to complete a medical care plan if you need to bring medication with you to the Summer Camp)

·      Your child can come to the summer camp wearing their own clothes. Please ensure they are wearing appropriate clothing for indoor and outdoor activities.

·      On the last day of camp your child may dress up for their rock concert!

·      Please do not bring and electronic devices – mobile phones, watches, computer games, etc…**

**iRock School of Music will not take any responsibility for the damage or loss of any electronic devices that are brought to the camp.


Photography:

As a part of the Summer Camp we will be using approved iRock devices to take photographs/videos of your child so that they are able to take part in all the activities. As part of the Summer Camp experience, every child will receive a digital download of an original song recording, a music video and a photoshoot of their band during the week. These will be available to parents as part of their child’s camp experience.

If you’ve given your permission, we may also use this content for our company's publications that we produce, as well as on our website, social media and general marketing materials. By booking a place at Camp iRock, you agree to the use of photography/videography as listed above.

 If you are unsure about what photo/video permissions you’ve agreed to, you can check and update these in your parent account on Hivelink (the Summer Camp booking site).


How to make a complaint:

We take any concerns or complaints seriously and aim to resolve them promptly and fairly. If you are unhappy with any aspect of Camp iRock, please do not hesitate to contact us directly. You can reach us by email at info@irockschool.com or by phone at 0330 174 2655. If the issue cannot be resolved through initial contact, we have a formal complaint procedure in place, and we will ensure that your concerns are reviewed by the appropriate member of staff. We will respond to all complaints within a reasonable time frame and work with you to reach a satisfactory resolution.

We take our duty of care to all children attending Camp iRock very seriously. Our staff are committed to providing a safe, supportive and respectful environment for every child. We expect the same level of respect and courtesy from all parents and guardians. Any rude, abusive, or disruptive behaviour towards our staff, other children, or parents will not be tolerated. In such cases, we reserve the right to take appropriate action, including requesting the removal of a child from the camp, with no refund or compensation.
